JOB SUMMARY
Provide secretarial and administrative services for the Finance Department. Perform miscellaneous work for Department as directed. Assist VP - Controller and all departmental staff as directed.
ESSENTIAL FUNCTIONS
General Secretarial
ï‚§ Ability to multitask
ï‚§ Outgoing personality to work with different levels of management
ï‚§ Organize and assist with department meetings, conferences, and events
ï‚§ Provide wide range of administrative support to assigned personnel
ï‚§ Prepare presentations, reports and other documents by liaising with others in the collection and preparation of information.
ï‚§ Responsible for calendar management and expense reports
ï‚§ Screening phone calls for Controller and VP Treasury.
ï‚§ Greeting departmental visitors (if requested)
ï‚§ Maintain office supply inventory and requests
ï‚§ Collecting and distribution of incoming and outgoing mail
Departmental
ï‚§ Preparation and distribution of Audit Committee packages
ï‚§ Organization and Preparation of Board slides
ï‚§ Logging and distribution of checks received (i.e. benefits, refunds and payments)
ï‚§ Assisting in coordinating SEC filings and documentation
ï‚§ Verifies departmental approval prior to distribution of any financial data
ï‚§ Copies/distributes financial statements
ï‚§ Assists in travel arrangements for departmental personnel
ï‚§ Coordination and distribution of quarterly Division and Management representation letters
ï‚§ Departmental filing and management of Accounting file room
ï‚§ Other duties as assigned by management
Skills Required:
QUALIFICATIONS
1. 10 years secretarial / administration experience.
2. Proficient with Microsoft Word, Excel, Power Point and Outlook.
3. Associates degree in Accounting or business degree with Accounting hours preferred.
4. Administrative experience in a public company preferred.
